Trossachs Camp Meeting Association (TCMA) agrees to permit the User Group identified in this agreement to use the facilities of Trossachs Camp identified in this Agreement as “Licensed Facilities” according to the following terms and conditions. The Agreement includes the use of only those portions of the Trossachs Camp facilities which TCMA has expressly identified and authorized at the end of this Agreement.
Rental Agreement
1. I have read the Purpose and Statement of Faith of Trossachs Camp Meeting
Association (located on the “about us” section of our website and attached to
Appendix 3) and confirm that our booking/event is not in opposition with the
Camp’s purpose and Statement of Faith.
2. A rental application must be sponsored (supported) by a TCMA member in good standing.
3. I affirm that the User Group I represent will abide by the policies listed
below. I will make the group aware of the guidelines before arrival. Our User Group
will follow all applicable codes, laws, and regulations involved with our
programming. As the Licensee, I agree to supervise and to assume full control
and responsibility for any person, other than TCMA personnel, who are for any
reason present at the Licensed Facilities at the invitation or with the
approval of the User Group and for any event or program conducted or authorized
by the User Group. For the purpose of this section “any person” includes, but
is not limited to, the User Group’s agents and employees, participants in the
User Group’s program and the User Group’s visitors.
TCMA reserves the right to require that the User Group remove from the
camp any persons in, or in any way connected with the User Group who, in the
sole opinion of TCMA are creating a disturbance or who are otherwise disrupting
activities on the Licensed Facilities or are otherwise not complying with the
terms and provisions of this Agreement. The User Group agrees to permit only
authorized persons to enter the Licensed Facilities and shall take all necessary
steps to remove unauthorized persons. The User Group agrees that the total
number of participants using or present on the Licensed Facilities will not
exceed the Facility Building Maximum capacity at any time.
4. Trossachs Camp Meeting Association takes every precaution to ensure the safety and the good health of all User Groups. The User Group agrees to defend, indemnify and hold harmless TCMA and it’s past, present and future members, directors, officers, employees, agents and independent contractors and its and their successors, assigns and heirs from and against any harm (illness, accident, or misfortune) and/or claim of damages made by any third party arising out of or in any way connected with the Licensee’s actions and/or failures to act in respect of its use of the Licensed Facilities or any other portion of Trossachs Gospel Camp.
5. I understand that smoking is strictly prohibited in and around all buildings. While not desirable, the designated smoking area is located in the main parking lot or at the entrance to the dump road. Trossachs Gospel Camp is a non-licensed facility and as such alcohol is not permitted on the property. Non-prescription drugs are also prohibited on the property.
6. I understand Trossachs Camp Meeting Association prohibits hunting, fireworks, firearms, ammunition, and explosives at the camp. Bows & arrows and bb guns are permitted, but they must be locked up against misuse and only used with a properly trained instructor. The use of gasoline, flammables, poisonous substances, and hand and power tools are restricted. Prior authorization for use of such items must be obtained from the Executive Director. Open fires are permitted only in the fire pit, with proper safety precautions and supervision.
7. I understand pets are permitted at the camp; however, pets are to be
kept on a leash. Pet owners are responsible to clean up after their pets and
are responsible for any damage the pets may cause. Pets are not permitted in
any food preparation areas including both the kitchen, dining hall and canteen.
8. I acknowledge that Trossachs Camp Meeting Association is not
responsible or liable for lost or stolen items.
9. TCMA shall provide water, electricity, and garbage disposal without
additional charge to the User Group. Garbage must be emptied and taken to the
garbage dumpster located at the entrance of the camp.
TCMA shall maintain the Licensed Facilities in good condition and repair and shall provide janitorial services to the premises and buildings. TCMA shall provide beds, mattresses, kitchen utensils, dishes, and other equipment necessary for the operation of the Licensed Facilities.
I affirm that the User Group will leave the camp equipment and buildings in the same condition as the time of the group’s arrival and that the User Group will be required to pay the amount reasonably necessary to repair or replace property or equipment damaged or destroyed during our use. I agree to clean up at the completion of the booking according to Camp standards and must pass Staff Inspection. I will report any problems with the equipment or buildings in a timely manner. I acknowledge that I have read through information regarding kitchen, pool, and other facility procedures as well as health and safety (In Appendix 1 and 2) and will abide by these regulations.
Camp standards: Spaces booked by the User Group must be left in as good a condition as they were found. Dishes must be washed and put away, garbage emptied and removed to the dumpster, and floors swept, vacuumed, and/or mopped as needed.
10. I understand that failure to comply with these policies may result in immediate expulsion from the property per the Executive Director’s (or
their agent’s) discretion.
User Group Fees and Costs
1. Guaranteed Minimum Fee- the Guaranteed Minimum
Fee is based on the number of persons guaranteed by the User Group. It
will be charged to the User Group even if fewer
persons use the Facility than the User Group guaranteed, or if the User Group
terminates this Agreement without using the Facility.
2. Additional User Fees- If more persons use the
Licensed Facilities than the User Group guaranteed, the User Group shall pay to
Trossachs Camp Meeting Association an additional
fee. This fee will represent the use of the Facility by the additional persons
and will be calculated by totaling the individual charges for
each additional person’s lodging or day use fee, meal charges, and other
person fees where applicable.
Cancellation policy: Groups must cancel 72 hours prior to their booking
in order to receive a refund, less a 15% administrative fee.
Payment to be made prior to or upon arrival. Payments can be made by cash,
cheque, or E-transfer (to tgccamp@gmail.com).
TCMA is GST exempt and therefore no GST will be charged.
